01 When the patient writes
Everything reaches the same conversation.
The call, the text, the email, and the WhatsApp or Instagram message land on that patient's conversation. Whoever picks it up sees what was already said, and by whom. Those channels carry appointments, reminders, and office information, never anything clinical.
02 Around the appointment
Every appointment sends its own form and its own reminder.
The form goes out when the appointment is booked and comes back attached to it. The reminder goes out from the date, for every appointment on the calendar, without anyone at the desk keeping a list.
03 What the patient pays out of pocket
The invoice goes out and is paid in the same message.
For what the health plan does not cover, the practice invoices and the patient pays from the link they receive. The practice's billing system handles claims and anything that goes to the health plan.
04 Where all of it sits
The administrative record runs with the HIPAA configuration active.
The practice's EHR holds the clinical record. Everything administrative around it runs here: appointments, documents, payments, and conversations.
